Weekly Events Logistics
Weekend Service rotation: Eric, Shelley, Brandon, Ben

Writing up Roles
2015 Kindred Lead Convener
Purpose: Ensure that all Kindred 2015 logistics are cared for so that the event is a blessing (not a burden) for all who attend.
Domains:
- Kindred 2015 Invitation … includes venue and schedule
- Kindred 2015 Guest List
- Kindred 2015 Orientation Packet
Accountabilities:
- Submitting a plan (including budget) for consideration by the contributing members
- Working the plan (if approved)
- Convening the co-conveners to write the invitation and make collective decisions as necessary
- Contacting event attendees to ensure they have what they need to travel to the event and participate
- Reserving the venue
Festivals King/Queen
Purpose: Manage logistics to ensure all our major in-person parties and camping events on the four major holidays are awesome!
Domains:
- Financial resources allocated to the four major holidays by the Lead Link
- Planning documents for the four major holidays including venues, transportation, supplies, and agendas
Accountabilities:
- Determining what resources each event needs to be successful
- Proposing venues and agenda items for events
- Assembling lists of specific things to buy
- Purchasing supplies or assigning others to do so
- Contacting venues to make reservations
- Providing any necessary assistance for each participant to travel to the event
- Gauging the mood and needs of participants at the event and adjusting plans as needed
Open Space Convener
Purpose: coordinate Open Space events, including those that coincide with festivals.
Domains:
- Invitations
- Guest lists
- Facilities
- Facilitation Process
Accountabilities:
- Convening the co-conveners to write the invitation
- Booking the venue
- Coordinating the guest list and ensuring that there is capacity for all who are attending
- Enlisting facilitation as needed
- Coordinating with the Festival King/Queen when coincident with festivals (invitation, venue, schedule, etc.)
Scripture Writer
Purpose: Maintain and expand the SolSeed body of religious texts.
Domains:
- The SolSeed Creed
- Text of the rituals for the Liturgical Seasons
- The SolSeed Book of Days
- SolSeed: The Book of Life
Accountabilities:
- Writing and revising content for the SolSeed scriptures
- Motivating others to write content, particularly for SolSeed: The Book of Life
- Discussing possibly-controversial content with the Stewards to ensure it matches our joint understanding of what SolSeed is about
Web Maintenance Guy/Gal
Purpose: Keep the SolSeed web presence online and fully functional.
Domains:
- SolSeed-owned domain names
- Web hosting for solseed.org
- The SolSeed Meetup accounts
- Internet ad campaigns
Accountabilities:
- Paying for domain names and web hosting
- Troubleshooting any technical problems that arise with solseed.org, e.g. spam on the wiki and page-loading delays
- Paying for the Meetup accounts
- Setting up and maintaining Internet ad campaigns
Outreach Coordinator
Purpose: keep track of and optimize our collective topical communities, advertising, and other outreach efforts.
Domains:
- Topical community protocols
- Drip emails
- The SolSeed Facebook page
- SolSeed Meetup event pages
- Internet ad campaigns
Accountabilities:
- Verifying that everyone is following their topical community protocols, and removing barriers to doing so
- Assigning people to create drip emails
- Maintaining the MailChimp system for sending drip emails
- Posting to the SolSeed Facebook page and motivating others to do so
- Posting upcoming events to the SolSeed Meetups
- Assembling content for Internet ad campaigns
- Tracking success metrics for Internet ad campaigns
Closing Round
- Brandon … I love actually doing the work in these calls … +1 for work bees
- Ben … I’m ambivalent ... it’s obviously a good way to motivate us, working while on a call and expecting each other to be working, but it feels like we could be doing this on our own … I do like the moments when we look at each other’s work and make a few suggestions … it’s like we’re creating a virtual office space instead of a virtual meeting, which is a bit weird
